Cancellation Policy

This Cancellation Policy explains how cancellations and rescheduling requests are handled for mobile repair, roadside assistance, diagnostics, maintenance, trailer service, generator service, and other approved service calls provided by NYC Mobile Diesel Repair Co.

Because our service model involves mobile dispatch, travel, technician scheduling, and sometimes ordered parts, cancellation terms may depend on when the request is canceled and what resources have already been committed.

This policy should be read together with our Service Terms and any estimate, invoice, authorization, or other service-specific agreement.

How to Cancel or Reschedule Service

If you need to cancel or reschedule a service call, contact NYC Mobile Diesel Repair Co. as soon as reasonably possible.

For time-sensitive roadside or mobile service changes, calling is generally the fastest option.

When contacting us, provide:

  • Customer or company name
  • Telephone number
  • Vehicle or equipment type
  • Service location
  • Scheduled or requested service
  • Whether the equipment has moved
  • Whether another provider has already completed the repair

A cancellation or rescheduling request is considered received once it has been communicated to us through an available contact method.

Cancellations Before Dispatch

If a service request is canceled before a technician has been dispatched or travel has begun, the cancellation may generally be processed without the same dispatch-related costs that can apply later.

However, charges may still apply if:

  • Parts were specially ordered
  • Non-returnable materials were obtained
  • Diagnostic preparation was already performed
  • A deposit was subject to separate terms
  • Other authorized expenses were already incurred

This policy does not establish a universal cancellation fee.

Any applicable charge depends on the specific service agreement.

Cancellations After Dispatch

Once a technician or service vehicle has been dispatched, time, travel, and operating resources have already been committed.

If the customer cancels after dispatch begins, applicable charges may still be due.

These may include, where disclosed or agreed:

  • Dispatch charges
  • Service-call charges
  • Travel-related charges
  • Other authorized costs

Customers should notify us immediately if the truck, trailer, generator, or equipment no longer requires service.

This includes situations where the vehicle restarts, is towed, is moved, or receives assistance from another provider.

Cancellations After Technician Arrival

If a technician arrives at the service location and the customer decides not to proceed, charges may still apply for work or resources already provided.

Depending on the circumstances, this may include:

  • Dispatch
  • Travel
  • Service-call time
  • Diagnostic work
  • Inspection
  • Labor already performed
  • Materials already used

The customer is not required to approve additional repairs simply because the technician has arrived.

However, canceling further work does not automatically eliminate charges for services already authorized and performed.

No-Shows and Inaccessible Equipment

A service call may be treated as unsuccessful or canceled if the technician cannot reasonably access the vehicle or equipment.

Examples include:

  • Incorrect service location
  • Vehicle or equipment moved without notice
  • Locked yard or facility
  • Missing keys
  • No authorized representative available
  • Security restrictions
  • Customer cannot be reached
  • Equipment unavailable at the agreed location

Where dispatch or travel has already occurred, applicable service-call or travel charges may still apply.

Customers are responsible for providing reasonably accurate location information and arranging lawful access before service begins.

Rescheduling Service

Customers may request to reschedule a confirmed service call.

A new service time depends on:

  • Technician availability
  • Current workload
  • Service location
  • Parts availability
  • Weather
  • Traffic
  • Site access
  • Nature of the repair

The original appointment or estimated service window is not guaranteed to remain available after rescheduling.

If the vehicle or equipment has moved, the updated location should be provided before a new service time is arranged.

Parts, Deposits, and Special Orders

Cancellation does not automatically remove responsibility for parts or materials already ordered for an authorized repair.

Some components may be:

  • Special order
  • Non-returnable
  • Programmed
  • Custom
  • Subject to restocking charges
  • Ordered specifically for one vehicle or machine

If the customer cancels after authorizing such parts, applicable costs may remain due.

If a deposit was required, the refundability of that deposit depends on the terms provided for the specific transaction.

This general policy does not state that every deposit is refundable or non-refundable.

Roadside and Emergency Service Cancellations

Roadside and urgent service calls may move into dispatch quickly.

If circumstances change after requesting service, contact us immediately.

Examples include:

  • Truck starts again
  • Another provider arrives
  • Vehicle is towed
  • Fuel is obtained elsewhere
  • Driver regains vehicle access
  • Equipment is moved
  • Repair is no longer needed

If dispatch or travel has already begun, applicable charges may still apply.

Submitting a cancellation after the technician is already traveling does not automatically make the service call free of charge.

Cancellations by NYC Mobile Diesel Repair Co.

We may cancel, delay, or reschedule service when reasonably necessary.

Reasons may include:

  • Unsafe roadside conditions
  • Severe weather
  • Restricted site access
  • Technician unavailability
  • Equipment outside mobile service capability
  • Missing authorization
  • Parts unavailability
  • Dangerous working conditions
  • Other operational circumstances

If the required repair cannot reasonably be completed in the field, we may recommend towing, relocation, or another repair option.

A cancellation or service change caused by field conditions does not automatically eliminate charges for authorized diagnostic, travel, or other work already performed.

Refunds and Applicable Charges

Canceling a service does not automatically create a right to a full refund.

Any amount refundable after cancellation depends on what has already occurred.

Relevant factors may include:

  • Dispatch
  • Travel
  • Diagnostic work
  • Labor performed
  • Parts ordered
  • Parts installed
  • Materials used
  • Deposits
  • Special-order items
  • Other authorized charges

If a prepaid amount exceeds the charges properly due, any remaining amount will be handled according to the applicable service agreement and legal requirements.

This Cancellation Policy does not publish a fixed cancellation fee, no-show fee, or dispatch fee.

Any such charge should be communicated as part of the specific service arrangement.
